Rule 7  Meetings

 

7        MEETINGS  

7.1      Meetings to be Held

Meetings to be conducted by the Institute are:  

a)  Annual General Meeting which is to be held each year upon a date to be fixed by the Board of Management.  Its business, amongst other matters, is to:
   
  • confirm the minutes and documents from the previous Annual General Meeting and receive reports from all Committees  
  • receive the report of the Treasurer upon all financial transactions and other Institute business, including presentation of the Auditor's report
  • elect new Officers (other than the Past President and Convenor of College of Fellows) and appoint the Auditor.
b) Extraordinary General Meetings may be convened by the Board of Management.  Requests for such meetings must be made in writing and sent by certified mail to the Institute’s Public Officer by ten voting members stating the reasons for the proposed meeting.  
 
c) Meetings of the Board of Management and its Executive may be held at any time during the year and shall be convened by the President, or the Vice-President if the President is unavailable.  
 
d)  Meetings of other committees or units of the Institute shall be called by their Chairperson or Convenor as required at any time of the year.   Minutes shall be taken and, once these are approved, a copy shall be forwarded to the Secretary for the Institute’s records.

7.2      Notice of Annual General Meetings and Extraordinary General Meetings

The Board of Management is required to give a minimum of fourteen (14) days notice in writing to members of meetings at which matters upon which a vote by members is proposed to be taken.

7.3      Quorum

A quorum for:  

a)

a General Meeting whether Annual or Extraordinary shall comprise three members of the Board of Management plus ten personal members who are not members of the Board  
  
b)  a Board of Management meeting shall comprise three (3) of its members.
  
c)  a meeting of the Board’s Executive shall comprise two (2) of its members.  
  

d)

a Membership Committee Meeting shall comprise three (3) of its members, at least two (2) of whom shall be Registered Practitioners.  
  

e)

 a meeting of any other committee or unit of the Institute shall comprise three (3) members of the committee or unit concerned.
